Record meetings

Let’s say you are hosting an important meeting or presentation via 8x8 Meet that not everyone will be able to attend live; to ensure that everyone can review what was discussed in the meeting, you can simply record the meeting for future reference and share it with participants. In the collaborative environment of 8x8 Meet, anyone attending as an 8x8 Work or 8x8 Meet user can record!

When you start recording, you can choose to store the meeting recording under Meetings / > Recent meetings in your app, or using your external Dropbox cloud file storage. You can then share your meeting recording with participants who need access to it!

Start recording meetings

In just a few clicks during a meeting, you can start recording!

To record a meeting:

  1. In a meeting, click or tap More actions to open a menu of advanced meeting controls and options.
  2. From the options, click or tap Start recording. At the prompt:
    • If you joined via desktop or mobile app: Select whether to store the recording under Meetings / > Recent meetings in your app, or to store it in Dropbox.
      • If you choose your app, select whether you want other participants to have automatic access to the recording in their apps. Then, confirm to begin recording the meeting.
      • If you choose Dropbox, you are prompted to sign in to Dropbox. Once you sign in, you begin recording the meeting.
    • If you joined via desktop browser: Sign in to Dropbox to begin recording the meeting.
  3. If you need to stop the recording before the meeting ends, click the recording option again to toggle it off.

Take highlight video snippets

While a meeting is being recorded, 8x8 Meet now detects key moments (such as a large number of in-meeting reactions) and generates video snippets around those moments. In addition, if you think a certain part of an ongoing recorded meeting is important, you can manually highlight that part of the meeting in real time.

To manually highlight a certain part of an ongoing meeting:

  1. While a meeting recording is in progress, in the meeting header, click Highlight moment to generate a snippet. The Moment highlighted pop-up window indicates that the highlighted moment will be added to the meeting summary.

  2. Each time you want to highlight another important part of a meeting presentation, click Highlight moment again to generate a new snippet.

Once a meeting is over, all the generated snippets will be added to the meeting recording summary.

When reviewing the details of a past meeting, scroll to the Recording & highlights section, and open the part you want to review instead of looking through the entire recording!

Note:
- This feature applies to 8x8 Work Desktop versions 7.18 and newer or 8x8 Work for Mobile version 10.18 and newer, and all browsers.
- Video snippets are only captured while a meeting is being recorded.

Translate meeting subtitles

Let’s say you are the moderator of a meeting, and one or several participants don’t understand the presentation language. You can choose in which language to translate the meeting subtitles. The subtitle translation is done locally for each participant.

To select the language in which the subtitle displays during a meeting:

  1. While in-meeting, if you have moderator rights, you can enable the meeting transcription by clicking More actions > Subtitles Off .
  2. In the Subtitles list, select the language in which the meeting subtitle will display. When the presenter starts to talk, the meeting subtitles displays the text in real-time, in the language set by you.
  3. If you or a meeting participant (guest user) doesn’t understand the presenter’s language, you can change the subtitle language at any time, by selecting from the Subtitles list the desired language in which the meeting subtitle displays locally.

Note: At the end of the meeting, in the meeting summary, the meeting transcription file displays in the language that has been set by the moderator (by default is the OS or browser language). For more information, click Post-Meeting summary.

Share meeting recordings

Once a recorded meeting is over, you can share the recording with anyone who needs access to it!

Note: If you selected Dropbox to store your recording, you have access to that recording for an unlimited time period. If you selected your 8x8 app to store your recording, depending on your user type, you have access to your recording from your 8x8 app for different periods of time:
-8x8 Work users: Unlimited time
-8x8 Meetusers: 60 days
-8x8 Meet users: Three days

To share a meeting recording stored in your app:

  1. If you recorded a meeting from your app and chose to store your meeting recording in your app, open your app.
  2. In the app, go to Meetings / > Recent meetings to see your list of recent meetings. If a meeting has a recording associated with it, a Files label shows up next to the meeting.
  3. From the list, select a meeting to see the details and recordings associated with it.
  4. From the post-meeting summary:
    • Via browser or desktop app, or 8x8 Work for Mobile 10.14 and newer: Click the recording to begin playing it. In the player:
      • Click the Share recording option to copy a link to the recording to your clipboard. You can either share this link for others to download the recording on their own, or open the link in your browser to download the recording as an MP4 file on your own computer.

        Note: This recording link is valid for 72 hours at a time. To access the recording via link again after this period, simply click the Share recording option again to generate a new link to the same recording.

      • Click More > Download to download the recording as an MP4 file on your computer.
    • Via 8x8 Meet mobile app, or 8x8 Work for Mobile 10.13 and earlier: Hover over the recording to reveal your sharing options:
      • Click the Share recording option to copy a link to the recording to your clipboard. You can either share this link for others to download the recording on their own, or open the link in your browser to download the recording as an MP4 file on your own computer.

        Note: This recording link is valid for 72 hours at a time. To access the recording via link again after this period, simply click the Share recording option again to generate a new link to the same recording.

      • Click the Download recording option to download the recording as an MP4 file on your computer.
  5. Once you have copied the link or downloaded the recording, share either the link or the file with participants as needed.

To share a meeting recording stored in Dropbox:

  1. If you recorded a meeting and chose to store your meeting recording in Dropbox, go to the Dropbox address you specified prior to recording.
  2. From the specified Dropbox storage location, you can share the recording file with participants as needed.

Post-meeting summary

Once a meeting is over, a post-meeting summary is available, and you can see at a glance the participants at the meeting, or any recordings, chat logs, and audio transcripts related to the meeting!

Note: This feature applies to 8x8 desktop apps, versions 10.14 and newer of 8x8 Work for Mobile, and all browsers.

In addition, you have access to video segments as a summary of a full recording, along with screenshots from the meeting.

Note: This feature applies to 8x8 desktop apps, versions 10.17 and newer of 8x8 Work for Mobile, and all browsers.

Let’s say you’re looking through several past meetings for a particular meeting, and want to quickly locate information about that one.

To access a post-meeting summary:

  1. In 8x8 Work or the 8x8 Meet desktop app, go to Meetings / > Recent meetings.
  2. Click a past meeting to view its summary. From a post-meeting summary, you can see any resources related to the meeting, such as:
    • The list of Participants who attended the meeting, sorted in order of speaking time, then alphabetically
    • Any Recording made of the meeting: Click a recording to watch it directly from within the app. While watching the recording, click Share to copy the recording link to your clipboard, which you can share for the next 72 hours with participants without access to the recording.
    • Any Highlight video snippet as a summary of a full recording you want to view, you can open it on its own instead of looking through the entire recording. While watching the video snippet, click Share to copy the recording link to your clipboard, which you can share for the next 72 hours with participants without access to the recording.

      Note:
      - This feature applies to 8x8 Work Desktop versions 7.18 and newer or 8x8 Work for Mobile version 10.18 and newer, and all browsers.
      - Presentation snapshots are only captured while a meeting is being recorded.

    • Any Screenshots automatically generated during a recorded screen sharing session.

      Note:
      - This feature applies to 8x8 Work Desktop versions 7.18 and newer or 8x8 Work for Mobile version 10.18 and newer, and all browsers.
      - Still shots of shared on-screen content are captured every few seconds for quick viewing if the app detects changes in the displayed content.
      - Video snippets are only captured while a meeting is being recorded.

    • The Chat log of the meeting
    • Any Transcription made from meeting audio displays in the meeting summary. If the meeting moderator chooses to translate the transcription in a different language, the translation of the meeting subtitle displays in the language set by the moderator. You can download it as needed.

    • Any Polls created during the meeting
