Storage types

Storage types include hot storage and cold storage.

Hot storage

Hot storage is data that needs to be accessed right away and it supports instant retrieval of recordings from the Recordings page. If a stored recording is business-critical and you need to retrieve it immediately, then place it in hot storage. Hot storage is included in all default storage policies and is based on license type; and all the users assigned to a license receive, by default, the retention time corresponding to their license. For customers who only have hot storage policies defined, these recordings expire and are deleted permanently based on the recording timestamp plus hot storage days.

Cold storage

Cold storage is data that you need to access less frequently and does not require fast access; it may include recordings that are no longer needed for immediate access and might not be needed for months or years. Examples of recordings suitable for cold storage are those you need to maintain such as financial, legal or other business record keeping requirements. If you have additional cold storage added to your policies, your recordings automatically transition to your archive at the expiration of hot storage.

Note: All recordings are deleted permanently from the cold storage archive when the purchased cold storage ends.

Note: ** Hot and cold storage add-on purchased for 8x8 Work meetings and 8x8 Work calls must be configured in order to take effect. See our content on how to configure the storage policy.
Purchased storage remains available only for as long as the customer remains a customer of 8x8. Otherwise, to protect your customer data, 8x8 shall delete your data in accordance with its data retention policies.

New storage policy

The new storage policy applies to the new customers, or the existing customers who switch to the new storage policy. These customers get 90 days hot storage for their old and newly created recordings for the first 90 days after they switch. At the end of 90 days, the 30 and 130 days rule applies based on their contract. The new policy is designed to meet our customers’ needs:

  • It provides time and information for our customers to make the best decision in regards to the type and period of storage they need.
  • It helps customers preserve their existing recordings and easily access them for playback and evaluation in the upcoming 90 days.
  • When switching to the new storage policy, 8x8 provides 90 days when all existing and new recordings are kept in hot storage. This policy impacts 8x8 Contact Center and 8x8 Work users, regardless of their licenses. For example, a X1-X2 customer or X6-X8 customer who only has the default 30 days of hot storage, will benefit of this extension when switched. No recording will be archived or deleted in the first 90 days.
  • After the initial 90 days:
    • if additional hot storage (130 days) is available, then recordings will stay in hot storage for a period of time that equals the number of days since the recording was created subtracted from the 130 days total hot Storage.
    • if additional hot storage (130 days) is not available (or the recording is older than 130 days), but cold storage is available, then recordings will stay in cold storage for a period of time that equals the number of days since the recording was created subtracted from years available in cold storage (maximum 10 years).

      Note: For archived recordings (in cold storage) metadata is still available under recordings in 8x8 Admin Console and the QMSA appication.

    • if cold storage is not available (or the recording is older than the cold storage period), then recordings will be deleted.

      Note: For deleted recordings metadata is no longer available. Metadata is deleted together with the recordings.

  • During the 90 days period, customers have the option to purchase additional storage (130 days of hot storage, or cold storage in annual increments up to 10 years). The new storage period also applies retroactively to all existing recordings. For more details, see our FAQ topic.
