Assign users to 8x8 Cost Center

8x8 Cost Center administrators assign users (or assets and services) to cost centers as the final step required to activate their 8x8 Cost Center bill. User assignment is only available for Independent 8x8 Cost Center. You can add and modify users only through 8x8 Admin Console. Bulk assignment of users to 8x8 Cost Center is only possible through the user details template while individual assignments can be managed via My 8x8 application interface. When you choose the email licensing user template, a user assignment template is sent to the email address on the account. Download the user template as a CSV file, update the cost centers or assign cost centers to the users and save the template locally. At the end, upload and import the updated user template. You are able to search the users with user name, first name, last name, email address, phone number or a partial string and see the updated cost centers through My 8x8 application interface. Remember that user assignment overwrites the asset assignment.

Note: User management is handled using either the template or via My 8x8 application interface.

To assign users to the Cost Center:

  1. Log in to My 8x8.
  2. Go to Billing > Cost Center Management.

    If you have set up cost centers before, the total number of your cost centers are presented at the top of the page. User assignment is only possible with Independent cost centers.

  3. Open the Assignment > User Assignment tab.

    You can assign users to cost centers and organize your cost center information in the User Assignment. You must first import the user setup template.

    Note: Any changes to the user assignment will overwrite the previous asset assignments to the cost centers.

  4. Click Email Licensing User Template.

    A success message appears on My 8x8 application. The user details template is emailed to the email address on the cost center account.

  5. Open or click to download the user template from your email. It is automatically saved in your local computer (Downloads folder) as a CSV file and is editable in Excel or Google Sheets.
  6. The user template includes the user information such as first name, last name, email address, and phone number. The remaining fields are editable and contain the cost center information. If you have updated the template before, it contains your latest updates.

    Note: The user template includes the user's first name, last name, email address, and phone number. These fields are read-only.

  7. Update and assign cost centers to the users.
    Enter more information such as customer cost center reference, (the unique identifier you give to each field) as well as Level 1 to 5. Level 1 specifies the country name (USA), followed by region (West Coast), state (CA), city (San Jose), and department (Eng) that comes under Level 5.
  8. Save the updated file in your local directory.


  9. Under the User Assignment tab, click Upload Files and select the newly updated template file.

    Note: Depending on the volume of data, it may take a few minutes for the data to be uploaded.

  10. Click Import User Template. A success message appears on My 8x8 application.

    Search for a user with the user’s name or partial information such as Shasta or @gmail and look for the updated cost center. You can also assign a cost center to the users from the UI editable field.

    An upload email with the results status is emailed to the email address on the account. The Result column in the template shows if the import has been successful or not. If the import fails, the Message column explains the type of error.

    Note: Unlike the assets template, you can have an empty row or column in the users template and still be able to validate it successfully. For example, the default row can be blank in the user template but not in the asset template.

Search and edit user assignments

In the Search and Edit Assignments for users, you can search and find a user by the user name, first name, last name, email address, and phone number. Enter full or partial information and click search. The search result shows all the rows with the relevant data. For bulk user assignment, use the template for a faster and more efficient update, but for individual user assignments, you can either use the template or My 8x8 application. Once you find the user, assign the cost center via the editable field next to the user’s name and save.

To search and edit user assignments:

  1. Log in to My 8x8.
  2. Go to Billing > Cost Center Management.
  3. Open the Assignment page.
  4. Go to the User Assignment tab.
  5. Under Search and Edit Assignments, You can search with user name, first name, last name, email address, phone number or partial string.
  6. Enter your search string and click Search.

    The users with relevant information are listed.

  7. For each user, in the Cost Center section, start typing a cost center in the editable field. A list of the available cost centers are presented to you. Select the cost center of your choice. All cost centers appear with the cost center reference such as Mkt (USA-6) or CA (USA-3).
  8. With the cost center selected, click to save your assignment for that user or to cancel.
