Access Message History

When you send messages to contacts or external numbers in the 8x8 Virtual Office desktop app, the messages become available for you to review in a convenient list of recent chats in the Messages tab. From chat history, you can create personal contacts from external numbers for convenience, mark a message as read, or hide a conversation from your personal chat history.

To access your message history:

  1. Open the Messages tab.
  2. To access your message history with a specific user or group of users, click the desired chat in the list to view your messages.

To search the history of an individual or room chat:

  1. Open the Messages tab.
  2. Click the desired chat to open it.
  3. In the chat, click the More icon to open a drop-down menu.
  4. From the drop-down, select Search to open a search view.
  5. In the search bar that appears, enter keywords to find in the history of the chat, and confirm to search for all messages that contain those keywords. Messages in the search results show up with the entered keywords highlighted.

To create personal contacts from message history:

If you frequently communicate with a number outside of your company contacts, you can create a personal contact directly from a message.

  1. Open the Messages tab.
  2. In the All or 1-1 sub-tabs, hover over the desired chat with an external contact, and then click the More icon that appears to open a drop-down menu.
  3. From the drop-down, select Create new contact to start creating a new contact; the number and Caller ID (if one exists) are automatically filled in.
  4. Enter the contact details.
  5. When you are finished, save your changes. The personal contact now shows up under Contacts > My Contacts.

To mark messages as read:

If your colleague sent you a message, but discussed it with you in person and cleared up all their questions before you could read the message in Virtual Office, you can simply mark these now-unnecessary messages as read to prevent clutter in your chat history. You can mark SMS messages as well, such as spam or messages mistakenly sent to your number.

  1. Open the Messages tab.
  2. Hover over the desired chat, and then click the More icon that appears to open a drop-down menu.
  3. From the drop-down, select Mark read.
  4. Select additional conversations to mark as read, if needed, and confirm. The selected conversations now appear as read.

To hide conversations from your personal chat history:

If you receive spam messages via SMS, or find that your chat history is cluttered with old messages, you can easily clean up your chat history. If you hide a message, you do not delete it; other people you chatted with still have access to the conversation in their chat history.

  1. Open the Messages tab.
  2. Hover over the desired chat, and then click the More icon that appears to open a drop-down menu.
  3. From the drop-down, select Hide conversation.
  4. Select additional conversations to hide, if needed, and confirm. The selected conversations are now hidden from your personal chat history, but continue to show up in the chat history of the people in those conversations.
