Join Meeting Audio

8x8 Virtual Office Meetings supports a high-definition audio experience for a smooth and effective meeting. Once you join a meeting, you are asked to join audio in order to hear and speak with other participants. You can join audio via computer for a unified experience, join audio via phone for added mobility, or join an audio-only experience on the go whether you are a local or international participant.

Limitations

If you choose to have the meeting call your phone, you can only receive the call if a participant from the host's phone system is currently in the meeting.

Join Audio via Computer

If you expect to be at your computer for the duration of the meeting, you can simply use your computer's own speakers to join meeting audio.

To join audio via computer:

  1. In the Join Audio prompt that pops up when you join a meeting, select Computer to join audio using your default computer audio and video devices.
  2. Upon selecting, you are prompted to state your name. State your name, and click OK to confirm.
    Other participants hear your name announced, and you join meeting audio.

Join Audio by Dialing In

To join meeting audio through your phone, you can select from regional and toll-free numbers to join the meeting without paying extra for your call. In addition, you can join audio by phone as an international participant; just use a local number provided by the meeting host to join free of international charges! The dial-in numbers available to you depend on your organization's subscription.

To join audio by dialing in:

  1. In the Join Audio prompt that pops up when you join a meeting, select Phone.
  2. Upon selecting, dial the meeting’s associated dial-in number, and access the meeting by dialing the Meeting ID listed next to the number. From the list of phone numbers visible in your email invitation or the meeting details in Virtual Office, you can also select a toll-free number out of the dial-in numbers offered for the meeting.
  3. Once you dial in to the meeting, you are prompted to state your name. State your name, and dial <#> to confirm.
    Other participants hear your name announced, and you join meeting audio.

Have the Meeting Call You

Virtual Office Meetings allows participants to either call in using the available dial-in numbers, or be called back at a given number. A participant who has joined the meeting can choose to join audio by having the meeting call them at a specific number. By default, the ability to request callback is enabled, and is controlled from the meeting's advanced settings.

Limitations

If you choose to have the meeting call your phone, you can only receive the call if a participant from the host's phone system is currently in the meeting.

To have the meeting call your phone:

  1. Upon joining a meeting, you are prompted to use your phone to join audio. Select the option to join via phone to view an additional prompt.
  2. In the prompt, under The meeting will call you:
  3. Answer your phone when it rings.
  4. You are prompted to state your name. State your name, and dial <#> to confirm.
    Other participants hear your name announced, and you join meeting audio.

Join Audio as an International Participant

International calls are often inconvenient for meetings, given their high prices. However, Virtual Office Meetings offers you the ability to use multiple dial-in numbers, domestic or international, to join meeting audio via phone. This way, international participants can dial in through a number local to them, and avoid international call fees. International and domestic participants can also be called back from within a meeting to join via audio, as the meeting host's dial plan allows.

To dial in to a meeting internationally (audio-only):

  1. Open your email invitation to the desired Virtual Office meeting.
  2. In the invitation, note the Meeting ID listed.
  3. From the list of available dial-in numbers in the email, call the desired dial-in number local to you.
  4. When prompted, dial in the relevant meeting ID, and dial <#>.
  5. When prompted, state your name, and dial <#> to join meeting audio.

To view dial-in numbers available to participants (as a host):

  1. In the Meetings tab, go to My Meetings.
  2. Click the desired meeting to review the meeting details and advanced settings.
  3. In the meeting details that open, click the dial-in number listed under Audio conference dial-in numbers to display the full list of domestic and international dial-in numbers available. In this case, your meeting involves participants from Argentina, Hong Kong, and Mexico, so you can check the list for international numbers that belong to those countries.
  4. As you schedule by adding the meeting to a calendar event, participants are notified of their dial-in options in their email invitations.
