Set up Fax

Setting up for fax feature for PBX extensions is typically done by your PBX administrator in Account Manager. Extension users can customize the settings further to suit their requirements in the 8x8 Work for Desktop.

Note: If you are a phone system administrator, you can set up 8x8 Work fax for individual users in Account Manager.

Set up Fax in Account Manager

  1. Log in to Account Manager.
  2. Go to Phone System > Extensions > View All Extensions.
  3. Edit your specified fax-enabled extension.
  4. Scroll down to Virtual Office Pro Information. Expand the section to define the following fax settings:
    • Click Select Fax Number to input your state, area code, and city. You will be given a list of available fax numbers to choose from. Once you have chosen your fax number, click Select.
    • Under Fax Notification Via Email, you can choose one of the following:
      OptionFunctionality
      Link and AttachmentYou receive an email with an attachment of the fax and a link to the 8x8 Work login page.
      Attachment OnlyThis is the default option. You will receive an email with a PDF attachment of the fax.
      Notification OnlyYou receive an email notification without any link or attachment of the fax received.
      Disable NotificationYou do not receive any email notification upon receiving a fax.
      Link OnlyYou receive an email with a link to the 8x8 Work login page. You can log in to your 8x8 Work account and access the fax message.
    • Add the email addresses to send the fax notification. You can add up to five email addresses.
  5. Once you are done, click Save Changes at the bottom of the page.

Set up Fax in 8x8 Work

With the 8x8 Work for Desktop, setting up your Internet fax is quick and simple, and allows you to easily customize your settings and contacts. You can choose:

You can also choose to disable your fax at any point.

  1. Click Settings. from the bottom toolbar.
    OR
    Select Virtual Office >Settings from the 8x8 Work for Desktop menu.
  2. Go to My Services.
  3. Scroll to Internet Fax.
  4. Click Pickto select a fax phone number. This enables Internet Fax on your service.
  5. Click Assign Fax Phone Number.
  6. A dialog box opens prompting you to select your geographic location, area code, and an available fax number. Make your selection, and click Finish.
  7. When you send or receive a fax, you can opt to receive an email notification automatically via the email address saved in your profile. Your email address is populated automatically if you have saved it in your profile.

    Note: You can add up to five email addresses to receive fax notifications.

  8. To change your email notification settings, click to open the drop-down menu. Select one of the following options:

    Link and Attachment You receive an email with an attachment of the fax and a link to the 8x8 Work login page.
    Attachment Only This is the default option. You will receive an email with a PDF attachment of the fax.
    Notification Only You receive an email notification without any link or attachment of the fax received.
    Disable Notification You do not receive any email notification upon receiving a fax.
    Link Only You receive an email with a link to the 8x8 Work login page. You can log in to your 8x8 Work account and access the fax message.
  9. Click Save.

If you subscribe to multiple fax numbers, you can specify which number appears on your outgoing fax.

  1. Click Settings. from the bottom toolbar.
    OR
    Select Virtual Office >Settings from the 8x8 Work for Desktop menu.
  2. Go to My Services.
  3. Under Internet Fax, click Disabled. A drop-down menu appears.
  4. In the drop-down, select the number you would like to use.
    • A US local fax number comes with your service if you are subscribed to fax. If your system administrator has not selected a fax phone number for you, you can select the phone number during your initial login to the 8x8 Work for Desktop.
    • Selecting this feature allows you to separate your voice calls from your Internet faxes.
  1. Click Settings. from the bottom toolbar.

    Select Virtual Office >Settings from the 8x8 Work for Desktop menu.
  2. Go to My Services.
  3. In the Internet Fax section, click your fax number. A drop-down menu appears.
  4. Select Disabled.
  5. Click Save.
    This turns off your Internet fax until you enable it again.

  2. Go to My Services.
  3. Under Internet Fax, click Disabled. A drop-down menu appears.
  4. Select your fax number.
  5. Click Save.
    This turns off your Internet fax until you enable it again.
